Project Management

Carefully planned projects with proper management tend to come out successful, on time and on budget. Each hotel project has several phases that Transbeam will manage:

Initial Project Exploration
Guest facing technologies and hotel systems are fluid in nature and change rapidly. Solidifying the guest technology experience is difficult.

Transbeam will help create a Guest Technology Experience document that will properly express the guest technology experience the hotel operator would like to achieve. Transbeam’s technology background combined with hotel experience puts us in a unique position – able to help the hotel owner and/or operator define the technology guest experience that is technologically grounded and has the WOW factor we are looking for.

Scope Definition
The Scope Document, also referred to a Statement of Work takes the Guest Technology Experience and brings it down to specific technologies, roles and deliverables. The SOW is the actual work to be done and IS the project. Adherence to the scope is essential for a successful delivery and completion of the project. Transbeam will – with input from project stake holders – prepare the Scope Document for the project.

Project Plan Creation
The Project Plan will be the guide and road‐map for the entire project. This document will have specific timelines, deliverables and tasks which the project team will need to adhere to. This document will be created based on the Guest Technology Experience document, technology and goals select by the Project Sponsor (Owner) and selected vendor input.

The critical path for the project completion will be identified and distributed for all vendors to ‘buy into’.

Technology Vendors/Partners Selection
Based on the guest technology experience document, Transbeam will prepare and manage RFPs to properly select the vendors that can best meet the needs of the hotel. The RFP process will assure a level playing field and allow for a competitive price for the various technology solutions.

Construction Preparation
The complex task of hotel reconstruction is made even more difficult by the added technology needs. Transbeam will assist the assigned project Architect in designing plans which incorporate the hotel systems and technology needs.

Onsite Project Management Services
Transbeam will assign, on a full time basis, a Site Project Manager to the project site to perform the necessary and required services so as to assure Transbeam’s compliance with its obligations.

Specific deliverables from the PM will be:
  • Overall supervision of contractors, vendors and consultants
  • Creation of a “Differention Document” detailing specifically the tasks in detail and a clear understanding of ownership of the tasks, purchases and other functions related to the task.
  • Status reports on a weekly basis detailing progress and potential issues
  • Functional task list maintenance
  • Monthly Project Reports to Project Sponsor (Owner) giving an overview of the status, goals achieved and issues encountered
  • Budget Reports detailing budgeted, committed and spent money
